Custom software for consulting firms.

Your firm runs on engagements, people and time. We model exactly that — then build the system that runs it, from scope to delivery, so utilisation, demand and project margin are visible while the work is happening.

The problem

Your real delivery lives outside your tools.

Fragmentation

CRM, resourcing sheet, timesheets.

Pipeline, resourcing and time live in separate tools that barely agree. Nobody sees utilisation and demand without rebuilding it by hand.

Workarounds

The plan is a spreadsheet.

Who's on what, and what's next, lives in a resourcing spreadsheet and partners' heads — not the system you pay for.

Scope

Creep, seen at invoice time.

Change against the original scope is reconstructed late, so margin erosion surfaces only when it's too late to correct.

Blind spots

Project margin, found out late.

Profitability per engagement is assembled after delivery, so you manage the firm by rear-view mirror.

The Operating Model, applied

From your firm's reality to working software.

We model the entities your firm deals in and the rules that govern them — then engineer each into the Construct, the Shell and the Seer.

Clients & engagements
Every engagement, its scope, people, documents and status in one place.
the Construct
People & resourcing
Allocations against engagements, with utilisation and demand visible as it happens.
the Shell
Scope & fees
Scopes, change requests and fee arrangements governed by their own rules.
the Shell
Utilisation & margin
Project margin and firm-wide capacity — live, not reconstructed at month end.
the Seer
What changes

One model of your firm — so utilisation, demand and project margin are something you see, not something you chase.

Questions, answered

Consulting firms, specifically.

What kind of software does Siphr build for consulting firms?+
Custom systems built around how your firm actually runs — clients, engagements and their scopes, the people doing the work, resourcing, time and project margin in one model, rather than a CRM, a resourcing spreadsheet and a timesheet tool that never quite agree.
How is this different from professional services automation (PSA) tools?+
Off-the-shelf PSA assumes a firm like everyone else's and makes you fit its structure, so the way you really scope, resource and deliver ends up in shadow spreadsheets around it. We model your engagement types, resourcing rules and fee arrangements first, then engineer the software directly from that model — so it fits on day one and keeps fitting as your service lines change.
Can it handle resourcing, utilisation and project margin?+
Yes. People and their allocations are modelled against engagements, so utilisation, pipeline demand and project margin are live as work happens — not reconstructed at month end. You can see who is over- or under-allocated and which engagements are eroding margin while there is still time to act.
Does it handle scopes, change requests and fixed-fee vs time-and-materials?+
Scopes, change requests and fee arrangements are modelled as first-class entities, so a fixed-fee engagement and a time-and-materials one are governed by their own rules within the same system, and scope creep shows up against the original commitment instead of surfacing only in the final invoice.
Will it work with the tools we already use?+
Custom software does not mean replacing everything at once. We model where your firm's source of truth should live, then connect the systems that stay — accounting, CRM, document and email — so data flows instead of being re-keyed. What we replace and what we integrate is a decision we make with you.
How long does it take to go live?+
Because the software is engineered directly from the model, builds reach a working production system in weeks rather than quarters. Larger platforms grow from there, and we stay on as your firm changes so the software follows.
Is this viable for a small or mid-sized firm?+
Yes — that is our focus. We work with firms that have outgrown off-the-shelf tools but do not want the cost and risk of a large enterprise build. You get software shaped to your firm without an enterprise price tag or timeline.
Where is our data held?+
Siphr is based in Brisbane and builds for Australian firms. Hosting and data handling are set up around your firm's obligations, and residency, access and retention are decided with you as part of the build.
